Personal data protection
Personal data are collected when you register for or take part in activities organised by the Belgian Olympiad in Informatics ASBL/VZW (including the beOI contest and beCP), and when you subscribe to our mailing list on this website. beOI ASBL/VZW undertakes to comply with the laws and regulations that apply to the protection of those data.
Data collected (contests and activities)
Surname, first name, contact email address, date of birth, gender, place of residence, school, school year / grade, and the language chosen for the contests.
Purposes of collection (contests and activities)
- Checking that registration is in the correct category based on age and school year.
- Producing rankings by school year.
- Publishing results on our website.
- Identifying participants affected by a problem during a round.
- Publishing on our site the number of participants by school year, gender, and language.
- Determining who qualifies for each stage.
- Contacting participants about training, the final, and other informatics contests.
Mailing list
On this website you can leave an email address to be notified when registration opens and about olympiad-related news. We only collect the email address and the language selected on the form.
Direct subscription. The subscription is recorded immediately: no confirmation email is sent. Only subscribe with your own address (or that of a child of whom you are the parent or legal guardian). If you were added without your consent, contact info@be-oi.be to be removed from the list.
Legal basis: your consent (Art. 6(1)(a) GDPR). You may withdraw it at any time by writing to us. Withdrawal does not affect the lawfulness of processing before that withdrawal.
Minors
The olympiad is aimed in particular at pupils from primary school onwards. For information society services offered directly to a child, Belgian law requires parental consent when the child is under 13. Parents or guardians are invited to manage mailing-list signup — and, where relevant, contest registration — for the youngest participants.
Data retention
Retention period
Rankings from past contests may be published in the archives section of our site. They mention first name, surname, school, school year, and the result obtained. No other data are kept for more than 2 years, unless a legal obligation requires otherwise. Mailing-list addresses are kept for as long as the subscription is not cancelled or the list is not closed.
Confidentiality
Personal information is stored in a computerised file by beOI ASBL/VZW. We put in place measures intended to ensure the confidentiality and security of your personal data, so as to prevent damage, erasure, or access by unauthorised third parties.
Access to personal data is limited to members of the association organising the relevant part of the contest. They are bound by a duty of confidentiality.
beOI ASBL/VZW undertakes not to sell, rent, transfer, or give third parties access to personal data without the prior consent of the data subjects, unless required for a legitimate reason (legal obligation, fighting fraud or abuse, exercise of defence rights, etc.).
Security and hosting
Personal data processed in the course of our activities are stored on servers hosted in Europe (including via AWS) and, where relevant, securely in Google Drive. Mailing-list sign-ups from this site are processed through a service hosted in the European Union.
Cookies and analytics
This site is mainly static and does not use tracking cookies or third-party audience analytics tools. No cookie banner is shown for those purposes.
Your rights
Under the GDPR you have, among others, the rights of access, rectification, erasure, restriction of processing, objection, and data portability, under the conditions set by law. To exercise them, write to info@be-oi.be.
